1. Who we are
This Privacy Notice describes how Elite Team Headquarters LLC ("we", "us", "our"), the provider of the Tennis Error Management™ service (the "Service"), collects, uses, and shares personal data. Elite Team Headquarters LLC is the data controller for personal data processed in connection with your account and your use of the Service.
2. Personal data we collect
- Account data: name, email address, login credentials, password (hashed).
- Coach-entered data: player names and match data (errors logged per match, court zones, runways, strike zones, results, timestamps).
- Subscription status: plan tier, subscription state (active, trial, canceled), renewal date.
- Support correspondence: messages you send us and our replies.
- Usage and device data: pages viewed, features used, IP address, browser type, device identifiers, approximate location (derived from IP), timestamps.
- Cookies and similar technologies: see Section 8.
We do not collect your card number or bank details. Payment data is collected directly by our Merchant of Record, Paddle.com.
3. How we use personal data and our legal bases
- To provide the Service — create your account, store your matches, generate reports (legal basis: performance of a contract).
- To bill you and manage your subscription — via our Merchant of Record (legal basis: performance of a contract).
- To keep the Service secure — detect and prevent fraud, abuse, and unauthorized access (legal basis: legitimate interests).
- To improve the Service — analyze usage to improve features and reliability (legal basis: legitimate interests).
- To provide customer support — respond to your requests (legal basis: performance of a contract / legitimate interests).
- To comply with legal obligations — accounting, tax, and lawful requests by authorities (legal basis: legal obligation).
4. Who we share data with
- Paddle.com, our reseller and Merchant of Record, for processing payments, managing subscriptions, calculating and remitting sales tax / VAT, issuing invoices and handling refunds and billing inquiries. Paddle's own privacy notice applies to data they collect directly from you at checkout.
- Hosting and infrastructure providers that store account and match data on our behalf.
- Analytics and error-monitoring providers used to keep the Service stable and performant.
- Email and customer-support tools used to communicate with you.
- Professional advisers (legal, accounting) when reasonably necessary.
- Authorities where required by law or to protect our rights, users, or the public.
We do not sell your personal data.
5. International transfers
Your personal data may be processed in countries other than the one in which you live, including the United States. Where transfers leave the UK or EEA, we rely on appropriate safeguards such as Standard Contractual Clauses or adequacy decisions.
6. Data retention
We keep account and match data for as long as your account is active and for a reasonable period afterward in case you reactivate or request a copy. Billing records are retained as required by tax and accounting law. Backups and security logs are retained for limited rolling periods. We delete or anonymize personal data when it is no longer needed.
7. Your rights
Depending on where you live, you may have the right to:
- Access the personal data we hold about you;
- Rectify inaccurate or incomplete data;
- Erase your data ("right to be forgotten");
- Restrict or object to certain processing;
- Receive your data in a portable format;
- Withdraw consent where processing is based on consent;
- Lodge a complaint with your local data protection authority.
To exercise these rights, contact us through the in-app support link. We aim to respond within one month.
8. Cookies
We use a small number of cookies and similar technologies that are strictly necessary to run the Service (for example, to keep you signed in) and a limited set of analytics cookies that help us understand how the Service is used. You can control non-essential cookies through your browser settings.
9. Security
We apply appropriate technical and organizational measures — including encryption in transit, access controls, and audit logging — to protect personal data against unauthorized access, loss, or alteration.
10. Children
The Service is intended for use by coaches, not by minors directly. Player names and match data may relate to junior players; coaches are responsible for having any necessary consent from players or their parents/guardians before entering such data.
11. Changes to this notice
We may update this Privacy Notice from time to time. Material changes will be communicated through the Service or by email.
